How much does Accorto Travel cost?

Our core coordination service is a flat fee of €260. If you need us to build a custom itinerary from scratch, that's an additional €135-180. This price includes optimization of your route, booking all accommodations and activities, and handling all the coordination chaos. We're about 40% cheaper than traditional travel advisors who charge €410-680 per trip.

What's included in your service?

Your flat fee includes:

  • Route optimization and expert recommendations
  • Coordinate accommodation reservations (lodges, campsites, guesthouses) with independent suppliers
  • Coordinate activity and tour reservations with independent tour providers
  • Park permit coordination
  • Car rental arrangements (if needed)
  • Up to 3 rounds of itinerary revisions
  • Professional PDF travel pack with day-by-day plans, maps, and all confirmations
  • We aim to respond to client inquiries within 24 hours during business days
  • Support for any booking issues that arise

Additional fees only apply for: extra revision rounds after the first 3 (€45 each), major trip modifications during travel (€70-90), or full custom itinerary planning from scratch (€135-180).

Do you charge commission on bookings?

We're completely transparent: you pay a flat fee to us, and we book at the best rates we can find. As we grow and build relationships with suppliers, some may offer us commissions (10-30% is standard in the industry), but this never increases what you pay. We don't inflate prices or push expensive options to earn more commission. Our income is your flat fee, period.

How It Works

How long does the booking process take?

Once you submit your trip details and pay, we'll send you an itinerary proposal within 3-5 business days. After you approve the plan, we coordinate reservations with the relevant suppliers and send you the confirmation details. That said, you should reach out to us at least 8 weeks before peak season trips (June-October) and 4 weeks minimum for off-peak travel to ensure availability.

Can I make changes to my itinerary after you start booking?

Yes, but timing matters. Before we start booking, revisions are included (up to 3 rounds). Once bookings are made, changes depend on supplier cancellation policies—some lodges allow free cancellation, others charge fees. We'll always be transparent about costs. If you need to modify your trip while traveling, we charge €70-90 per change to coordinate the updates.

What if a lodge or activity isn't available?

We'll immediately suggest alternatives at similar price points and quality levels. You approve any substitutions before we book. If we can't secure your essential must-have bookings, refunds are provided according to our Terms & Conditions and the stage of the planning process.

Coverage

Do you only book accommodations or tours too?

We handle everything: accommodations (campsites, lodges, guesthouses), activities (guided tours, boat trips, scenic flights), park permits, and car rentals. The only thing we don't book is international flights—you'll usually get better deals booking those yourself.

What parts of Namibia do you cover?

All of Namibia. From Etosha in the north to the Fish River Canyon in the south, Sossusvlei in the west to the Caprivi Strip in the east. If it's in Namibia, we can coordinate it. We're Namibian locals, so we know the entire country.

Can you help with car rentals and flights?

Yes to car rentals—we'll coordinate the perfect vehicle for your route (2WD for paved roads, 4x4 for gravel and dunes). We recommend booking international flights yourself since you can often find better deals, but we're happy to advise on timing and airports.

What happens if something goes wrong during my trip?

We provide support for booking-related issues at no extra charge. If a lodge cancels on you, a reservation doesn't show up, or you need help resolving a booking problem, we step in immediately. For trip modifications during travel (like changing your next destination), we charge €70-90 to coordinate the new arrangements.

Who pays for the actual bookings (hotels, activities, etc.)?

You pay suppliers directly. We only charge for our coordination service.

Here's exactly how it works:

  1. You pay us: Only our coordination fee (€260-535 depending on package)
  2. We coordinate: We research options and coordinate reservations with suppliers based on your approved itinerary
  3. You get confirmations: We send you confirmation emails from each lodge, activity provider, and vehicle rental company
  4. You pay suppliers directly: Each supplier will tell you their payment terms (some want deposits, others accept payment on arrival)

Why this matters: You never send us thousands of euros hoping we'll pay suppliers. You only pay our small coordination fee, then handle supplier payments yourself with the confirmed bookings we secured. This protects you from scams and gives you direct relationships with every supplier.

  • You cancel within 48 hours after payment
  • We can't secure your must-have bookings (lodges, campsites, or activities you specified as essential)
  • We miss our timeline: itinerary not delivered within 5 business days, or bookings not completed within 10 business days

50% Partial Refund

  • You cancel after we've delivered your custom itinerary but before we start making bookings
  • We've invested time in planning but haven't yet committed to suppliers on your behalf

No Refund of Our Service Fee

  • After we've successfully completed all bookings on your behalf
  • Our coordination work is done and you have all confirmations
  • Note: Supplier refunds are separate - if you cancel accommodations or activities, you follow each supplier's cancellation policy directly. We'll help you navigate this at no extra charge.
